    TSS failover

    Your task/initial situation

    You are operating a cash register with a TSS. The TSS has failed and you now want to export the failure data.

    In the event of failure of the certified technical safety system, you must observe Anwendungserlass zur Abgabenordnung (AEAO), the general guidelines for fiscal authorities on how to interpret fiscal laws. For users of a TSS, § 146a in particular applies. The following regulations apply to TSS fails:

    • You must document TSS downtimes and their reasons. This documentation can also be automated by an electronic recording system (JTL-POS).
    • If you keep using JTL-POS without the TSS, the failure must be visible on the respective recording document, e.g. by missing transaction numbers or other means of identification.
    • Even if the TSS fails, the document output obligation remains. The document details for date and time must be provided by JTL-POS in this case.
    • The document output obligation is only eliminated in the event of a complete failure of JTL-POS or failure of the printing and transmission unit. If the printing and transmission unit fails, you must continue using JTL-POS.
    • You must immediately remedy the cause(s) of the failure or initiate measures to remedy it.

    Automatic documentation of failures

    On the basis of § 146, No. 7 of the AEAO, JTL-POS records each TSS failure in its own database according to the legal requirements. In the case of a tax audit, the documented failures can be issued by the tax office and assigned quickly and easily by the auditor on the basis of the export.

    All you have to do is put the technical safety system into operation. Subsequently, the failures are recorded automatically and cannot be switched off.

    The following data is stored in a tamper-proof manner (title in CSV and description):

    TSS manufacturer: The manufacturer of the technical safety system

    TSS serial No: The serial number of the technical safety system

    Receipt ID: The receipt number of the relevant receipt

    Failure date: The time of the failure/action

    Failure number*: The number of the failure. The number is automatically incremented, is linked to the serial number of the technical safety system and cannot be reset.

    Failure code: The reason for the failure

    Failure number Receipt: The number of receipts affected by this failure. The number is automatically incremented, is linked to the serial number of the technical safety system and cannot be reset.

    Cashier: The cashier who was logged in at the time of the failure/action

    Client: The name of the company that operates the POS system

    Register SN: The serial number of the cash register system; allows unambiguous assignment

    Printer: The receipt printer that printed the unsigned document

    Please note: If the TSS cannot be reached, a short message is displayed in addition to the separate storage of the failures so as not to disrupt the current process.

    The information relating to TSS failures can be viewed at any time in the main menu under Messages.

    Note of TSS failures on receipts

    A corresponding note is displayed on receipts that are issued during a TSS failure. The receipts can thus be unambiguously assigned to a downtime and reason. JTL-POS therefore fulfils both requirements:

    If the transaction number of the TSS is missing, the failure is displayed clearly and is numbered. If the connection to the technical safety software is restored, the failure remains visible on the receipt.

    In the event of a failure of the technical safety system, you can thus continue to work with JTL-POS—without additional effort.

    Please note: To print the TSS information, the $tse_footer$ variable must be embedded in the receipt template. If JTL-POS does not receive feedback from the TSS, the content of this variable is replaced by the failure information. If the variable is not embedded, no failure information is displayed and the legal requirements are not met.

    Failure and troubleshooting documents

    In order to additionally minimise the effort of internal documentation and communication for merchants, JTL-POS creates two receipts, one for each failure and another one for re-connection, i.e. successful troubleshooting.

    • Failure record: Is printed when the technical safety system fails or cannot be reached
    • Troubleshooting document: Is printed when the technical safety system has been reconnected and is reachable again.

    The content or the print template of failure and troubleshooting records is specified by JTL-POS and cannot be changed.

    The output of the failure and troubleshooting records is automatically activated after a technical safety system has been set up.

    You can also deactivate the output:

    1. In the main menu, open the menu item Settings > Technical safety system.
    2. Tap the pen icon to edit the TSS settings.
    3. Enable the option Print failure records.

    Exporting failure data

    In the course of a tax audit by the tax office, the responsible auditor will want to see all information about the TSS failures, for which purpose you can export the TSS failure log.

    1. In the main menu, open the menu item Import/Export (CSV).
    2. Tap on the Export posting data tab.
    3. Select the period for which you want to export the data.
    4. Tap on Failure log.
    5. Select a storage location.
    6. Start the export via Start export.

    The title of the exported CSV file starts with Ausfallbelege_* (Failure records) and is supplemented by the selected period of time. The CSV file can be opened with any spreadsheet program.

    The failure log contains the following data for the selected period:

    TSS Manufacturer: The manufacturer of the technical safety system

    TSS serial No: The serial number of the technical safety system

    Receipt ID: The receipt number of the relevant receipt

    Failure date: The time of the failure/action

    Failure number*: The number of the failure. The number is automatically incremented, is linked to the serial number of the technical safety system and cannot be reset.

    Failure code: The reason for the failure
