How is the delivery time displayed in JTL-Shop calculated?

The displayed delivery time is calculated from an interaction between JTL-Wawi and JTL-Shop. In the following video, we have explained all important aspects that need to be considered when it comes to delivery times.

    Your task/initial situation

You are interested in how the delivery time displayed in JTL-Shop is calculated.

How is the delivery time of the item calculated?

The delivery time of the item is calculated based on different supplier settings. The delivery time changes depending on the supplier, the delivery time of the respective suppliers, the internal processing time of the sales order as well as the procurement time of the item. In the following examples, we will explain how the delivery time is calculated.

Case 1: The item is in stock and is available

Note on option “Add to own stock”: The option Add to own stock in the Item master data in the tab Suppliers makes it possible to increase the available item stock. When calculating the delivery time, there is no distinction between the stock in your own warehouse and the supplier’s stock. When the supplier is not a drop-shipping supplier, we recommend not to activate the option and instead use the option Allow negative stock in the tab General info.

Items in warehouses affect the displayed delivery time in the following ways:

    • Additional handling time: This option can be found in JTL-Wawi in the item master data in the tab General info. There, look at the Warehouse options.
    • Function attribute “processingtime”: If you do not (want to) work with additional processing time, you can also use the “processingtime” function attribute. This will only be considered when the option Additional processing time has not been activated.
    • Shipping method in JTL-Shop: Under Administration > Shipments > Shipping methods, you can set a delivery time for each shipping method in JTL-Shop. Customers are shown the delivery time of the cheapest shipping method for their items.
    • Release date (optional): In JTL-Wawi, you can set a release date for an item in addition to the additional processing time. This setting can also be found in the General info tab.

The delivery time for items that are in stock is therefore calculated as follows:

(Release date +) Additional processing time or function attribute “processingtime” + delivery time of the cheapest shipping method = total delivery time of an item.

Case 2: Item is out of stock

If the item is not in stock, the first important thing to know is what setting has been made in the item master data in the General info tab (Warehouse options > Procurement time when sold out.

    Automatic determination

If the option Determine automatically is activated, the delivery time is calculated on the basis of the following values:

    • Function attribute “supplytime”: You can store the function attribute “supplytime” in the item master data in the tab Attributes/Characteristics. With the attribute, you can specify a default procurement time for this item. The function attribute overwrites an existing delivery date of a purchase order or the delivery time of the default supplier.
    • Delivery date of a purchase order: If the function attribute “supplytime” has not been set and a purchase order with the expected delivery date has already been carried out, this delivery date will be taken into account.
    • Delivery time of default supplier: If the function attribute “supplytime” is not set and the item has not yet been ordered, the delivery time of the default supplier is taken into account.
    • Additional handling time: This option can be found in JTL-Wawi in the item master data in the tab General info. There, look at the Warehouse options.
    • Function attribute “processingtime”: If you do not enter an additional processing time, the function attribute “processingtime” is taken into account (in case it is set).
    • Shipping method in JTL-Shop: Under Administration > Shipments > Shipping methods, you can set a delivery time for each shipping method in JTL-Shop. Customers are shown the delivery time of the cheapest shipping method for their items.

The displayed delivery time is calculated as follows:

Either function attribute “supplytime” or delivery date of the purchase order or delivery time of the default supplier + additional processing time or function attribute “processingtime” + delivery time of the cheapest shipping method = displayed delivery time of the item

Note on procurement time: Only the first applicable value is used. Example: If the function attribute “supplytime” is set, the delivery date of the purchase order and the delivery time of the default supplier are disregarded.

Exception: Item has a release date in the future

For an item with a release date in the future, this is only taken into account if there is no purchase order whose delivery date is also in the future. This is because it is assumed that you would normally want to deliver items to your customers as soon as they are in stock (i.e. the purchase order has been delivered).

In the event that there is a release date in the future and no purchase order, the delivery time in JTL-Shop is calculated as follows:

Release date + additional processing time or function attribute “processingtime” + delivery time of the cheapest shipping method = total delivery time of an item.

    Setting the procurement time manually

If you set the procurement time manually, purchase orders are not taken into account. Only the following factors are relevant:

    • Option “Set manually”: If you activate the option Set manually, you can enter an amount of days to be taken into account.
    • Function attribute “supplytime”: Instead of using the warehouse options, you can also set the procurement time using this function attribute.
    • Additional handling time: This option can be found in JTL-Wawi in the item master data in the tab General info. There, look at the Warehouse options.
    • Function attribute “processingtime”: If you do not enter an additional processing time, the function attribute “processingtime” is taken into account (in case it is set).
    • Shipping method in JTL-Shop: You can set the delivery time for each shipping method in JTL-Shop (Administration > Shipments > Shipping methods). Customers are shown the delivery time of the cheapest shipping method for their items.

The displayed delivery time is therefore calculated as follows:

Manual procurement time or function attribute “supplytime” + additional processing time or function attribute “processingtime” + delivery time of the cheapest shipping method = total delivery time of an item.

Exception: Item has a release date in the future

If a release date that lies in the future has also been set in addition to the manually set delivery time, the setting for the manual delivery time is ignored. The displayed delivery time is calculated as follows:

Release date + additional processing time or function attribute “processingtime” + delivery time of the cheapest shipping method = total delivery time of an item.
