    Shipping methods & shipping classes

In this video, we explain how shipping methods and shipping classes work together in JTL-Shop.

    Setting up shipping methods

    Your task/initial situation

You would like to offer your customers different shipping methods depending on the departure country and the contents of the shopping basket. In JTL-Wawi you have already created shipping methods to which you would like to link the shipping methods from JTL-Shop.

    Step 1: Preparations in JTL-Wawi

Before you start setting up shipping methods in JTL-Shop, you should make some preparations in JTL-Wawi. Of course, you may have done so beforehand already. In this case, simply skip the first step and go directly to step 2.

    Shipping classes

Shipping classes can be used to control the availability of shipping methods in JTL-Shop. For example, you may only want to offer the “Freight forwarding” shipping method for particularly large items. To do this, you can give all items with this property the shipping class “bulky goods”, for example. Items that require an age check by the delivery person could in turn be given the shipping class “Age check 18”.

Think about a useful division of your assortment and create corresponding shipping classes in JTL-Wawi, which you can then assign to the items. Go to “Creating shipping classes”.

    Shipping methods

It is not quite as important, but it does make sense to already create all shipping methods in JTL-Wawi, with which you will later link the shipping methods from JTL-Shop. Go to “Creating shipping methods

    Customer groups

Shipping methods in JTL-Shop can be restricted per customer group. This allows you to offer certain shipping methods such as cash on delivery only to certain customer groups, for example B2B customers.

Create all the customer groups you need in JTL-Wawi and activate them for your JTL-Shop. Go to “Creating customer groups” and to the dialogue box “Sales channel management”.

Step 2: Creating shipping types in JTL-Shop

When creating shipping methods in JTL-Shop, you should always make sure that you offer shipping methods for each shipping class, customer group and destination country. At the same time, you should be careful not to offer your customers too many choices. You do not want to confuse them! For example, it is possible to create a single shipping method called Package shipping in JTL-Shop and change it afterwards in JTL-Wawi, for example using a workflow.

In the following we assume that we need the following 3 shipping methods:

    • Domestic shipment Standard: All packages sent within your country, e.g. Germany.
    • Domestic shipment Express: In addition to standard shipments, you would also like to offer domestic express shipping.
    • International shipment: All packages that are sent to another country than your own.

Of course, you can add any other alternatives to these shipping methods. Proceed as follows to create a shipping method:

    1. Log in to the back end of JTL-Shop with your admin access data.
    2. Navigate to Administration > Shipments > Shipping methods. This will take you to the “Shipping methods” page. By default, no shipping method is available yet.
    1. First select one of the four basic shipping methods.

You can choose from the following:

    • Standard shipping costs according to destination country: Use this option to set a price for shipping. This does not change even with different shopping basket contents.
    • Shipping costs according to item quantity and destination country: With this option you set the cost depending on the number of items in the basket. It is possible to differentiate between different destination countries.
    • Shipping costs according to weight and destination country: With this option you set the cost depending on the weight of the items in the basket. To do this, the shipping weight of the item must be correctly maintained in the item master data of JTL-Wawi. It is possible to differentiate between different destination countries.
    • Shipping costs according to goods value and destination country: With this option you set the shipping costs depending on the value of the basket. It is possible to differentiate between different destination countries.
    1. In our example, we choose Standard shipping costs according to destination country. Click Create new shipping method. This will take you to the Creating a new shipping method page. Go to detailed description of all the settings.
Important note: If you want to use decimal separators when creating or editing shipping methods, please use a decimal point (.) instead of commas (,).
    1. Enter an internal Name and the Displayed name for every language. The displayed name appears in the customer’s selection list of shipping options. If you do not want to display a name but an image, enter the corresponding image URL or path.
    2. Enter the minimum and maximum delivery time in days here. This is used to automatically calculate the delivery time in JTL-Shop. You can also enter a free text for the delivery time for each language.
    3. Specify when this shipping method is available to the customer.

    The following settings are possible:

    • Always
    • Only if this shipping method is the cheapest
    1. Select for which shipping classes the dispatch type is to be offered. A shipping method is only ever offered if there are only items of the selected shipping classes in the basket.

Why do I get this message in the ordering process: “There is no shipping method available for your order. Please contact us directly to process this order.”?

This message appears if no shipping method is available for the customer’s current basket contents. For each item combination, a shipping method must be available for every customer group and every destination country.

Each item always has exactly one shipping class, which you define in JTL-Wawi. In JTL-Shop, there can be any number of shipping methods. In the shipping methods, you define for which shipping class combinations, customer groups and destination countries they are valid.

    Examples for the shipping classes:

    • Item A has the shipping class: Letter
    • Item B has the shipping class: Package
    • Item C has the shipping class: Freight forwarding

Now there are 7 class combinations that can be created in the basket in the online shop:

    • Only A is in the basket or
    • Only B
    • Only C
    • A AND B
    • A AND C
    • B AND C
    • A AND B AND C

For each of these cases, a shipping method must now be set up in JTL-Shop so that JTL-Shop always knows how the current basket must be shipped. Please note that one shipping method can cover several of these cases. In our example, this makes sense for option C, “Freight forwarding”. Whenever a forwarding item is in the shopping basket, it will be shipped by forwarding, regardless of the other items in the basket. In our example, these would be the following cases:

    • ONLY C is in the basket
    • A AND C are in the basket
    • B AND C are in the basket
    • A AND B AND C are in the basket

In the online shop, the shipping method Freight forwarding is always available if an item with the class Freight forwarding is in the basket, regardless of whether there are other letters or parcels in the basket.

Please note: If the shipping method only applies to one customer group, the same cases must also be covered for all other customer groups of the online shop.

Of course, several dispatch methods can also handle the same cases. For example, the shipping method Letter Express could be integrated that only applies to the case “Only A is in the basket”. Then the customer would be able to choose freely between all shipping methods that the respective shipping class combination allows for. For example, Letter and Express letter. Both cover case A.

It is also no problem if certain shipping methods only apply to certain customer groups or only to certain delivery countries. It is important that in the end, every possible case is covered by at least one shipping method.

    1. Under Accepted payment methods, specify which payment methods are possible in combination with the shipping method.

For each shipping method, at least one payment method must be offered. In addition, you can specify a surcharge or discount in euros or percent for each payment method. For a discount, enter a minus in front of the respective value.

Example: 2% means a 2% surcharge on the basket total. -2% means a 2% discount on the basket total.
    1. Under Free shipping from, specify whether the shipping method should be offered free of shipping costs above a certain sum. Enter the gross price in euros. Note that this function only works if you have set All combinations as the shipping class.
    2. Enter the costs for the shipping method under Amount.
    3. Under Destination country, set the countries to which you allow shipping with this shipping method. You can make a selection by marking individual countries or by using the buttons. Select at least one country for this shipping method to be valid.
    4. Click on Save shipping method to apply the changes.

    Surcharge lists

You can set individual shipping costs for certain postal code regions, the so-called island surcharges. To find out how to do this, please read Setting up island surcharges.

Step 3: Setting up shipping types from JTL-Shop in JTL-Wawi

You can permanently link shipping methods from JTL-Shop with individual shipping methods from JTL-Wawi. Go to “Linking shipping methods from JTL-Shop with JTL-Wawi”

With the help of JTL-Workflows, you can also have the shipping method set in JTL-Shop changed automatically based on previously defined criteria.

    Example scenarios

Free shipping to Germany from EUR 50 with the exception of freight forwarding items

In this example we show you how to create the shipping method Free shipping to DE from EUR 50 except forwarding items. First, we need to create shipping methods for orders from JTL-Shop that are sent free of charge within Germany when the order value is EUR 50 or more. Freight forwarding items are excluded from this.

    1. To do this, click on the button Create shipping method.
    2. Now enter the required data. First the name of the shipping method, the minimum and maximum delivery days, the customer group, and the shipping class. Important: Please enter Standard for the shipping class.
    3. Next, in the Accepted payment methods section, determine the payment methods and, if applicable, the surcharges or discounts for the respective payment methods.
    4. Set Free shipping from to Yes and enter the amount from which shipping should be free of charge. In our case, we will enter EUR 50.
    5. In the Amount section, please enter the regular shipping price.
    6. Now determine the countries to which you want to ship under Destination country. Just check the respective country boxes, In our case, the goods will be shipped within Germany only.
    7. Finally, click Save.

The shipping method is now listed under the active shipping methods. You have the option to delete, change or even duplicate the shipping method at any time.

Next, create the shipping method Freight forwarding for your heavier items.

    1. In the General section, enter the name of the shipping method, the minimum and maximum delivery days, the customer group, and the shipping class. For the Shipping class, enter Bulky goods and standard, bulky goods.
    2. In the Shipping costs section, enter the shipping price into Amount. In our case, enter 50 euros.
    3. Next, in the Accepted payment methods section, determine the payment methods and, if applicable, the surcharges or discounts for the respective payment methods.
    4. In the Destination country section, specify the destination countries for which the shipping method should be available. For this shipping method, shipment only takes place within Germany; therefore, the check mark is set for Germany.
    5. Finally, click on Save.
    6. The shipping method Freight forwarding is now created. In the shipping methods overview, copy this shipping method by clicking on the Duplicate button in the right-hand column.

Shipping of freight forwarding items outside of Germany but within the EU

This example shows the creation of the shipping method for shipping freight forwarding items outside Germany but within the EU.

    1. After you have duplicated the shipping method Freight forwarding, click on the pencil icon to edit it.
    2. Now enter the price for shipping outside Germany and within the EU here. In the Destination country section, select all countries in the European Union except Germany. Finally, save the shipping method.
    3. In the overview of shipping methods, you will now also find the shipping method Freight forwarding (outside DE/within EU).

    EU standard shipping

    1. First duplicate your standard shipping method and select Edit for the duplicated version.
    2. Now make the settings for your EU standard shipments.
    3. Set the option Free shipping from to No and specify the shipping price for your deliveries within the EU under Amount. In the Destination country section, select the entire European Union. Save the shipping method.

    Item-dependent shipping

With item-dependent shipping, the shipping costs are always added to the normal shipping costs. The shipping type item-dependent shipping applies to line items in the shopping basket for which the function attribute versandkosten or versandkosten gestaffelt (shipping costs and scaled shipping costs) is set. Make these function attributes settings in the item master data of JTL-Wawi.

    1. Open the item master data in JTL-Wawi. Switch to the Attributes/Characteristics tab. Under JTL-Shop, select versandkosten and versandkosten gestaffelt and click Next. Set the values according to your requirements and finally click on Save.
    2. Create a new shipping method in the back end of JT-Shop. Now enter the required data in the General section. Important: Set the Item-specific shipping method option to Yes.
    3. Select the payment methods you want to use in the Accepted payment methods section.
    4. Enter “0.00” as the amount in the Shipping costs area. The item-dependent costs that you have previously set in the item master data are added to the standard shipping costs for the respective country. In the Destination country section, specify the countries to which you want to ship. Complete your entry with Save.
