    Transferring items from WMS warehouses to default warehouses

    Your task/initial situation

    Let us imagine that you have an online business and a local shop for advertising material. Your shipping warehouse is located in Cologne and your local shop in Munich. You are using JTL-WMS for warehouse management and are working with the point of sale system JTL-POS in your local shop. Some goods in your local shop are running low, so you want to ship some items from your shipping warehouse to your local shop, i.e. transfer the items. Your employees in the local shop can initiate stock transfers in JTL-Wawi and thus order the goods from the shipping warehouse.

    Procedure

    A stock transfer from a JTL-WMS warehouse to a default warehouse (in this example the local shop) is made up of 3 steps:

    • Step 1: You or your employees in your WMS warehouse create the stock transfer in JTL-Wawi. You specify which items are sent from which warehouse in which way to which warehouse.
    • Step 2: The goods leave your JTL-WMS warehouse via your specified default goods issue processes that you have defined for the JTL-WMS warehouse and will be posted to intermediate storage.
    • Step 3: Your goods will be received from the intermediate storage in your local shop and posted to your default warehouse via the goods receipt in JTL-Wawi.

    Step 1: Creating a stock transfer

    1. Click on the Warehouse icon to open the Warehouse area.
    1. Open the Outbound stock transfers category and click New stock transfer. The Creating and editing stock transfers dialogue box opens.
    1. Select a source warehouse and a destination warehouse. In his example, you would select a JTL-WMS warehouse as the source warehouse and a default warehouse (your local shop) as the destination warehouse.
    2. Click Add line items. The Searching for items dialogue box opens.

    The list view shows all of your items. You can double-click on an item in this list to add it to the selection. On the left, you can narrow the items that appear in the list according to categories.

    1. Double-click on all the items in selection suggestions that you want to transfer. Then click Add. You are now back in the Creating and editing stock transfers dialogue box. Here you can now see the item(s) you selected and specify the stock transfer quantity.
    1. Option: You can add a custom line item to your stock transfer, for example, a paper bag for your local shop, which you store in large quantities in your warehouse. Click on the small black arrow in the Add line items button and select the option Create custom line item. Enter a name for the custom line item and the stock transfer quantity.
    1. Select a shipping method and add an estimated delivery date. In this example, you would transport the goods with your own van. For this purpose, you would have created a new shipping method prior called “Stock transfer own van”. You can of course also ship your stock transfer using one of your shipping service providers.     1. If necessary, add a note to your stock transfer and then click Save. As a note, you could add that the delivery note should be filed in a folder for documentation and signed by an employee.
    Please note: Since the source warehouse is a WMS warehouse, the goods are not shipped via JTL-Wawi. (If you click the On pick list or Ship button in JTL-Wawi, you will receive a corresponding error message.) Instead, you can create a pick list for the stock transfer in JTL-WMS.

    Using the consecutive number, you can now find your stock transfer in the Outbound stock transfers folder. Depending on whether the selected items are available or not, you will find your stock transfer in the status folder Deliverable, Partially deliverable or Out of stock. In this example, all items that we want to transfer are available in sufficient quantities in the warehouse. You will therefore find the stock transfer in the Deliverable status folder.

    1. If you want to add more items to your stock transfer, you can open the stock transfer by double-clicking on it or by clicking on the Edit button.

    Step 2: Preparing for shipping

    Using your standard processes for goods issue in your JTL-WMS warehouse, you can now prepare your stock transfer for shipping. Since the goods issue processes of your customers are individual, we will only roughly show you the steps of the goods issue in JTL-WMS at this point.

    1. Create a pick list for the stock transfer in JTL-WMS.
    2. Pick the items that are on the pick list.
    Do you want to print shipping labels or shipping documents, or have a note displayed at the packing bench stating that the package should be placed in a separate location during the goods issue? These functions can be controlled via the JTL-PackingBench/JTL-WMS output. Example: Since you use your own van to transfer the goods, you can have a corresponding note displayed at the packing bench. The employee thus knows where to place the goods during the goods issue. You can also have a delivery note printed so that the employees in the local shop can check and confirm whether the goods have arrived in the right quantity. Go to documentation for JTL-PackingBench
    1. Pack the items and prepare the shipment.
    Please note: As soon as the items are cleared from the source warehouse during the shipping process, they are automatically posted to intermediate storage. As long as the items are in intermediate storage, they can be viewed in the intermediate storage overview and are in the stock overview of the corresponding intermediate storage. For each combination of two warehouses, an intermediate storage is created, so that it is always possible to see exactly which items are being transferred between which warehouses.

    Step 3: Posting goods to the destination warehouse

    Your transferred goods have now arrived at your destination warehouse, which is your local shop. To post the goods to your destination warehouse, proceed as follows:

    1. In the Warehouse area, go to the category Inbound stock transfers > Being processed.
    2. In the list view, select the stock transfer for which you want to carry out the goods receipt.
    3. Click Goods receipt in the toolbar. The Performing goods receipt dialogue box opens.
    1. Carry out the goods receipt in JTL-Wawi as usual.
    Please note: As soon as you have posted the individual items via the respective goods receipt processes, the stock is deducted from the intermediate storage. Go to the documentation for Goods receipt in JTL-Wawi
    Please note: If items have been lost during transport, the goods will be displayed as an open quantity in the intermediate storage. To clean up the stock, open the stock transfer in the Being processed or Partially delivered category and click Complete. The items that are still open are then deleted from the stock.
    1. Your goods have been posted to your default warehouse. The stock transfer is now complete.

    You can view your completed stock transfers in the Inbound stock transfers category under the status Completed in the Warehouse menu.
