    JTL-WMS offers an automatic connection for printing shipping labels for the largest shipping service providers. For details, please refer to the chapter on the Shipping administration.

    Sales order overview

    The Sales order overview provides an overview of all sales orders, their current status and the storage location of the individual items.

    WMS shipping options

    The WMS shipping options in JTL-Wawi allow the assignment of four different statuses per sales order:

    • Prioritise: A sales order that has been prioritised is added to a pick list before other sales orders.
    • Lock: Locked sales orders do not appear on pick lists and cannot be packed.
    • Pre-pick: The sales order can be pre-picked here, even if one or more items are not in stock and are to be added later. You could also use this to pick the goods today and pack them tomorrow for organisational reasons.
    • Deliver partially: This option allows you to partially deliver a sales order despite its incompleteness, which would not be possible with, for example, Eazyshipping.
    Problem solving: When you work with shipping processes on a daily basis, small problems will occur now and then. Items get damaged, forgotten or misplaced. All these problems can be solved efficiently with JTL-WMS.

    What exactly happens during packing?

    When packing a sales order, the steps are always the same. There are currently three ways to pack a sales order in JTL-WMS.

    • EazyShipping
    • Shipping boxes
    • EazyShipping from goods receipt

    The following steps are now carried out during packing:

    • Printing documents: All documents required for the sales order are printed. It depends on several factors which documents are printed (destination country, value of goods, shipping method, …). Therefore, JTL-WMS has the PackingBench/WMS output in which you can set exactly which documents should be printed for shipments. These documents are all printed on the default printer set in the Workstation configuration.
    Please note: If a comment is set for this sales order type in the PackingBench/WMS output, this is displayed to the employee.
    • Outbound posting for items: An outbound posting is created for the items to be packed (contents if the box or the scanned items for EazyShipping).
    • Printing shipping labels: In JTL-Wawi, there are settings for whether and how the shipping label is to be printed for each shipping method. There are the following options:
    • CSV export: If the sales order has a shipping method for which a CSV file is to be exported, this file is then exported to the workstation configuration folder specified for that workstation. This file can now be processed by an external program.
    • Entering the tracking ID: If a manual entry of the tracking ID is set for the shipping method, this is requested in a pop-up window.
    • Checking the tracking ID: In the settings for the shipping method, a regular expression can be specified to which the entered tracking ID should correspond. If the entered ID does not correspond to the expression, an error message appears and the employee enters the ID again or cancels the input. This prevents incorrect labels or items labels from being scanned and sent to the end customer as a tracking ID.
    • Cropping the tracking ID: For shipping methods, there is a setting that allows for the use of only a certain part of the tracking ID. This is required for DPD, for example. The bar code on the label also contains other information that are not part of the tracking code for the customer. From this bar code, only the characters 8 to 21 are required.
    • The cleared goods are marked as shipped in the sales order. If the sales order has been completely shipped now, it is marked accordingly.
    • Email notification: The recipient receives a shipping confirmation via email.
    • If the sales order came from Amazon, eBay or an online shop, the sales order is reported as “shipped” to the respective platform.
    Special situation with CSV exports: With CSV exports, the sales order data is written to a CSV file on any network path. The data can then be read by an external program that takes over the printing of the shipping labels. Many of these programs can then write another CSV file which contains, among other things, the tracking ID. This file can be imported by JTL-Wawi and allows for matching the tracking ID to the sales order. In JTL-WMS, this import can be automated via an import service that checks the set paths for new files in the background. If automatic imports are configured for the shipping method, the email notification and the “shipped” message to Amazon, eBay or the online shop is held back until the matching file is imported and the tracking ID is known.

    When is the sales order marked as “Shipped”?

    When the sales order is marked as Shipped, the respective platform (i.e. the online shop, Amazon or eBay) receives a confirmation. If applicable, the recipient also receives a shipping confirmation. A sales order is considered “shipped” in JTL-WMS when the following is valid for all packages of the sales order:

    • A tracking ID has been entered manually if the shipping method is set to manually entering the tracking ID after packing.
    • The tracking ID for the package was processed via shipping data import.
    • The shipping method is set to “No tracking ID required”. In this case, each package is declared as “shipped” directly during packing.

    The configuration for when and if a tracking ID is expected is set in JTL-Wawi in the respective shipping method.
