    Checklist for updating JTL-Wawi 0.99923 to JTL-Wawi 1.0

    Your task/initial situation

    You are still working with JTL-Wawi version 0.99923 and would now like to benefit from the advantages of the current version of JTL-Wawi. In order to update to one of the current versions of JTL-Wawi, you must first update the database from JTL-Wawi 0.99923 to JTL-Wawi 1.0. You can then update JTL-Wawi 1.0 to any other more current version.

    The update to JTL-Wawi 1.0 comes with a variety of changes. In addition to the new features, many existing modules have been modified, optimised and rearranged. Please go through this checklist step by step and adjust your JTL-Wawi accordingly if one of the scenarios applies to you. Please understand that we cannot consider all specifics of your online business and your JTL-Wawi configuration in the checklist. We therefore ask you not to follow the instructions blindly but think about the possible impact on your processes and operations, as well.

    Our recommendation: Make sure to allow for enough time! Ideally, you should carry out the update at the weekend or after working hours. Experience shows that there will be many smaller and bigger changes that you might not expect and could interfere with your daily business. Example: All images are loaded to your client during the update, which may take some time. If you are using a lot of images, we recommend that you perform an update directly on your server to reduce the duration of the update. It might also be a good idea to use a test system.
    Exception: You are using JTL-Hosting. If your JTL-Wawi SQL database is hosted by JTL, we kindly ask you to perform the update during our support hours. The reason for this is that you cannot perform a manual restore yourself, which means that only JTL can restore a backup, if necessary.

    For users of JTL-eazyAuction eBay, there is a special subsection Adjusting eBay settings that lists several important adjustments that must be made. Please note that you will need to book a new fee rate for eazyAuction as part of the update. Current information and the possible options regarding the update can be found in the JTL-Customer Centre or on our website.

    Adjustments before the update

    You are already working with JTL-Wawi and are using some or all of the following features: Please go through the list step by step. Learn about the new structures and make the required adjustments.

    JTL-Shop 3.19

    Due to the new image structure in JTL-Wawi, all users of JTL-Shop version 3.19 need to reset their shops, including the images, and repopulate it using the online shop synchronisation. You do not need to make any changes if you have already updated to the current JTL-Shop version 3.20 before updating to JTL-Wawi 1.0. We therefore recommend updating JTL-Shop to the current version (3.20) before installing JTL-Wawi 1.0.

    Multishop Module 1.0

    With the former Multishop Module 1.0, you could only connect new shop systems to JTL-Wawi. The new Multishop Module 2.0 allows you to save descriptions, meta information and images for each shop system. Therefore, the licence model of the Multishop Module has changed:

    Connectors/Parent items and child items

    With the old JTL-Wawi version 099923, the GPL connector from 2006 sent the parent items to the shop as “normal” variation items. Customers could then buy these variation items in your online shop. When a purchase was made, these sales orders caused a non-defined state in JTL-Wawi and could not simply be shipped to the customer. Instead, you had to delete the sales line item and select the respective child item to continue with the order.

    In JTL-Wawi versions 1.0 and higher, the situation is similar. To prevent the non-defined state mentioned above, parent items and child items will only be sent via the JTL-Connector to shop systems that support parent-child relationships. This applies to the old and the new Modified-Connector as well as to the old XTC- and OSC-Connectors.

    Database administration

    When you start JTL-Wawi, the first thing you will see is the new database administration of JTL-Wawi. It is imperative that you create a Profile here. A standard profile is created during the update. The following procedure applies to new installations: Enter the connection parameters for the database. After you have set the connection parameters, you can start JTL-Wawi 1.0 for the first time. The update process starts immediately and you will be asked to perform a backup of your previous database. Once the backup is completed, the update starts automatically. Depending on the size of your database, the update may take a few hours.

    The old print templates for dunning letters (including your own custom templates) in the dunning system will be replaced by new standard templates. If you want to continue using your own templates, please save them before the update and import them again afterwards.

    Stocks for eBay auctions

    Starting with JTL-Wawi 1.0, stocks can be reserved for auctions. This feature was not included in JTL-Wawi 0.99923 and is integrated during the update. Consequently, your available stocks can be reduced to 0 or below, leading to an undesired termination of listings. Before the update, please check whether there is enough stock available to prevent auctions from being terminated.

    Adjustments after the update

    After successfully installing the new version, you will also have to consider the following changes:

    Base prices

    After the JTL-Wawi update, you have to adjust your Base price units , as they work differently now. In the past, you had to enter a conversion factor for your base prices. Now you can choose between various given units. You can also create new units.

    Example: JTL-Wawi comes with a wide variety of standard measurement units such as grams, litres, meters, etc. If you use units such as piece, tablet, capsule etc., these must be created and assigned during the update.

    Duplicate SKUs

    JTL-Wawi no longer supports duplicate SKUs . During the update, all duplicate SKUs will receive suffixes: ##1, ##2, ##3, etc. While the update is being performed, you will see a list of the respective SKU changes performed during the update by JTL-Wawi. You can later search JTL-Wawi for ## to find all items with automatically changed SKUs.

    Attention: inactive items must also be considered.

    Shipping service providers are integrated into shipping methods

    As part of the restructuring of the shipping process, we integrated the administration of shipping service providers into the Shipping methods . All important settings for shipping data exports and tracking will now be maintained in the shipping methods. Your previous settings will automatically be assigned to the correct shipping method.

    IMPORTANT: For users of JTL-WMS and JTL-PackingBench! You need to reconfigure the import and export paths for each workstation in the workstation settings in JTL-WMS and JTL-PackingBench. The paths are now maintained separately for each shipping method and cannot be transferred automatically.

    Shipping data export and import templates

    From this version onward, shipping data import will only be possible via the internal package ID(s). You can then import the matching tracking ID for each package. How does that affect you? When you select the shipping data export and shipping data import with JTL-WMS or JTL-PackingBench, you have to change the Shipping data export template to the internal package number:

    L{{Lieferschein.InterneLieferscheinnummer}}

    is replaced by

    P{{paket.InternePaketnummer}}

    In addition, no line breaks will be inserted automatically between header, main section and footer in DotLiquid exports. This is the only way to achieve maximum compatibility with all software interfaces. You can simply insert a line break manually with the Return/Enter key like you would in any word processing programme.

    Some of the previously used variables such as Pakete.Count must be replaced by variables such as Vorgang.Lieferschein.Pakete.Anzahl . Our customer support is happy to help if you should require any assistance. Simply create a ticket in the JTL-Customer Centre.

    Procurement time/Delivery time

    After the update, the Beschaffungszeit (Procurement time) has been changed to “manuell setzen” (set manually) in the dialogue box Artikelstammdaten > Registerkarte: Allgemein > Registerkarte: Lageroptionen (Item master data > Tab: General > Tab: Warehouse options). If you want to change this default setting for multiple items at once, you can use JTL-DataTransfer .     Rights management

    In JTL-Wawi 1.0, we introduced a new User and rights management. The rights management is based on group rights. First, groups with certain rights must be created. Then every user is assigned to a specific group. All previously granted user rights will be lost after the update to JTL-Wawi 1.0.

    Attributes

    The management of Attributes was changed in JTL-Wawi 1.0. Attributes only need to be created once and can then be assigned to an item in the item master data. During the update, all previously created attributes are imported and created only once. If different data types were used in the attributes, for example “numbers” and “text”, then the larger data type is used. In this case, it would be: text.

    Characteristics

    The management of Characteristics in JTL-Wawi was modified. All previous characteristics will be retained and migrated to the new structure.

    Taxes

    The Tax management in JTL-Wawi has also been improved. Your existing tax settings will be migrated. Tax settings can now be managed separately for each company.

    Stock correction

    During the update, JTL-Wawi checks all inventory data . JTL-Wawi will then show you a list of items with negative goods receipts that have been corrected during the update. We ask you to take inventory of the items on the list.

    JTL-Customer Centre and JTL-Wawi

    Mandant (Tenant) in JTL-Wawi can be linked to exactly one Customer Centre account . This means that you might need licences for all additional modules (such as JTL-WMS, JTL-PackingBench or the Multishop Module) for each of your tenants as well as a separate Customer Centre account.

    Form editor

    If you use the function JTL_DirectQuery , you will probably have to adjust the SQL queries to JTL-Wawi 1.0 as the database structure has changed in many places.

    DTAUS becomes SEPA

    The DTAUS format was removed. The SEPA function can be viewed in the invoice management in JTL-Wawi. Make sure that a valid IBAN and BIC are saved for each customer. In addition, your creditor ID must be saved in the company settings.

    Adjusting eBay settings

    If you use the eBay marketplace, you also have to consider some additional aspects after the update:

    JTL-Wawi transfers your images, item names, descriptions and design templates to eBay on a one-to-one basis. If you have changed any of the data directly on eBay, JTL-Wawi will overwrite that information. So JTL-Wawi takes the lead!

    Listing-specific images are no longer possible. If you want to list the same item on multiple eBay accounts, the same item images will be used for all listings! It is no longer possible to manage separate images for different eBay accounts. Instead, JTL-Wawi uses the eBay images of the Wawi master item for your eBay listings in the order specified in the parent item. Listing-specific images do no longer exist. Although this constitutes a limitation, it simplifies listing maintenance considerably.

    Stock adjustments for eBay

    The logic for the automatic stock reconciliation has changed. A separate check box for Angebote beenden, wenn verfügbar <= 0 (End listing if available <= 0) does no longer exist. This option is now always active. If you do not want your listings to be ended when there is no stock, you need to enable the option Allow negative stock in the item master data and define a max. stock.

Alternatively, you can also use the eBay Out-of-stock option. You can find a short explanation of this option below:

    The eBay Out-of-stock option In JTL-Wawi 1.0 we support the new eBay Out-of-stock  option for GTC listings. With this option enabled, GTC listings are no longer ended when the stock level drops to 0. Instead, they are set to inactive. They are also reactivated automatically when the stock level becomes positive again. In order to use this option, you need to enable it both in the settings on the eBay website and in JTL-Wawi under eazyAuction > eBay accounts.

    Scheduled eBay auctions

    The feature for scheduling eBay auctions is no longer available in JTL-Wawi 1.0. Any existing scheduled auctions will be deleted from the eA server . You can still use the eBay listing scheduling as well as the JTL-Wawi function Angebot autom. einstellen, wenn Bestand >= X (List automatically when stock >= X). You can find the option in the dialogue boxes eBay-Vorlagen (eBay templates) and eBay Globale Vorlagen (Global eBay templates) in the pane Angebot automatisch einstellen (List automatically).

    eBay design templates

    You can now edit and manage the eBay design templates directly in JTL-Wawi. Via the menu item eazyAuction > Designvorlagen (eazyAuction > eBay design templates) you can now update current eBay listings.

    eBay master vehicle list

    You can access the eBay Fahrzeugverwendungsliste (master vehicle list) directly via JTL-Wawi. Provided you selected a suitable eBay category, you can access the list via eBay-Angebotsverwaltung > Dialogfenster: Angebotsdetails > Reiter: Kategorie (eBay listings management > Dialogue box: Listing details > Tab: Category).

    General eBay conditions

    You can adjust the general eBay conditions for shipping, payment and returns directly in JTL-Wawi. To make the necessary adjustments to the general conditions, go to eBay-Angebotsverwaltung > Dialogfenster: Angebotsdetails > Reiter: Versand/Zahlung (eBay listings > Dialogue box: Listing details > Tab: Shipment/payment). The dialogue is largely self-explanatory.

    Using eBay in an international context

    Sellers can also use JTL-Wawi for selling on international eBay marketplaces . They do not have to limit their operations to the German marketplace. To do this, open the eBay-Kontoverwaltung (eBay account management) and select the desired marketplaces for each eBay account . Your changes will take effect when you perform the next eBay synchronisation.

    Global eBay listing templates

    For JTL-eazyAuction eBay, you can use Globale Angebotsvorlagen (Global listing templates)—an additional level above the listings templates and the auctions. Global listing templates are not item-specific, i.e. item-specific settings are not possible here. Instead, item-specific data is automatically retrieved from the item during the creation of a standard listing template (except for the listing description—for further information, please see the changes to the eBay placeholder).

    For example, you can create a global template for every combination of product category and eBay marketplace/language . Based on this global template, you can then generate standard eBay listing templates. It also works the other way round: You can create a global listing template from a standard eBay listing template.

    Adjusting JTL-WMS

    You are working with JTL-WMS? Please note the following changes:

    WMS predefined bin locations

    In addition to the WMS predefined bin locations, there are also WMS default areas and the so-called Storage sections.

    In JTL-WMS and JTL-Wawi, storage sections can be managed here:

    • In JTL-WMS: Settings > Warehouse options > General options > Storage sections
    • In JTL-Wawi: Lager > Lager > WMS-Lager auswählen > Allgemeine Optionen > Lagerbereiche (Warehouse > Warehouse > Select WMS warehouse > General options > Storage sections)

    WMS import and export paths

    Since the shipping service providers were integrated into the shipping methods in JTL-Wawi, the paths for the import and export of shipping data must be re-set in the workstation configuration. In addition, all shipping methods must be reconfigured.
